Create Tab

The Create tab is where you start new form instances from available templates.

The Create tab allows you to: - Browse form templates by role - Create new form instances - Create new checklist instances - Start workflow-integrated forms

Sidebar Categories

Owner Category

Forms you can create as the owner: - Templates you own - Forms you have permission to create - May include forms and checklists

Role-Based Categories

Templates available to your roles: - Organized by role name - Only roles you belong to - Each role may have different templates

Browsing Templates

  1. Select a role category in the sidebar
  2. The center panel shows available templates
  3. Templates display:
  • Icon indicating type (form, workflow, checklist)
  • Template name
  • Last modified date

Template Types

Templates are indicated by icons: - ๐ŸŽน Piano keyboard - Standard form template - โŒจ๏ธ Keyboard - Workflow form template - ๐Ÿ“‹ Clipboard - Checklist template

Searching Templates

Use the search box to find templates: 1. Type any part of the template name 2. Results filter in real-time 3. Works within selected role 4. Case-insensitive

Creating a Standard Form

For standard forms (piano keyboard icon):

  1. Select a role in the sidebar
  2. Click on a form template
  3. The template preview appears in the right panel
  4. Click “Create New Form” (if button is shown)
  5. Or start filling out the form directly
  6. The form is added to your Current forms

Standard Form Behavior

  • Creates a new form instance immediately
  • Form appears in My Forms > Current
  • Can be filled out and saved
  • Submit when complete

Creating a Workflow Form

For workflow forms (keyboard icon):

  1. Select a role in the sidebar
  2. Click on a workflow form template
  3. The right panel shows:
  • Workflow name
  • Workflow information
  • “Create New Form” button

  1. Click “Create New Form”
  2. A new workflow instance is created
  3. The form opens for you to complete
  4. Form appears in My Forms > Current

Workflow Form Behavior

  • Creates both form instance and workflow instance
  • Linked to workflow process
  • When submitted, enters workflow
  • May route to approvers
  • May return to you for action

Creating a Checklist

For checklists (clipboard icon):

  1. Select a role in the sidebar
  2. Click on a checklist template
  3. The template preview appears
  4. Click “Create New Checklist”
  5. The checklist opens for completion
  6. Checklist appears in My Checklists > Current

Checklist Behavior

  • Creates a new checklist instance
  • Appears in My Checklists > Current
  • Contains checkbox items
  • Submit when all tasks complete

Template Preview

When you select a template: - Preview appears in right panel - Shows template structure - May show sample data - Create button appears (for workflow/checklist)

After Creating a Form

After creating a form instance: 1. The form opens in the right panel 2. You can start filling it out immediately 3. The form is saved to Current forms 4. Complete and submit when ready

To return to it later: 1. Switch to View tab 2. Go to My Forms > Current (or My Checklists > Current) 3. Find and open the form

Role-Based Template Access

Templates you see depend on: - Your role membership - Only see templates for your roles - Template permissions - Templates configured for specific roles - Workgroup membership - Templates within your workgroups

If you don’t see expected templates: - Verify you belong to the correct role - Check with your administrator - Confirm you’re in the right workgroup

Refreshing Templates

Click the Refresh button to reload templates: - Updates with latest templates - Useful if templates are added - Reloads current role’s templates

Understanding Workflow Requirements

Workflow forms require: - Valid workflow definition - Workflow must be enabled - Proper workflow configuration

If workflow is missing or invalid: - Error message appears - Cannot create form instance - Contact administrator

Tips for Creating Forms

Before Creating

  • Choose the right template - Read template names carefully
  • Check the type - Note if it’s workflow-integrated
  • Verify the role - Ensure you’re in the correct role category

After Creating

  • Fill out promptly - Complete while information is fresh
  • Save progress - Auto-save may preserve your work
  • Submit when complete - Don’t leave forms in Current indefinitely

Workflow Forms

  • Understand the process - Know what happens after submission
  • Provide complete information - Incomplete forms may be rejected
  • Monitor progress - Check for notifications
